Piano Use Policy

The Petrof concert grand piano is located in the Peter White Public Library (PWPL) Community Room and is available for public use. The piano cannot be moved from the Community Room.

All piano reservations must be made with the Administrative Assistant of the PWPL. A written meeting room application must be submitted by the sponsoring individual and/or organization prior to scheduling an event requesting the use of the piano under "Equipment Requested."

The meeting room use application is available from the Circulation Desk or the PWPL Administration office.

Requests will be honored on a first-come, first-served basis. Reservations can be made one year in advance.

There is no charge for use of the PWPL Petrof piano if the individual or group using the piano holds a non-profit status, if the event is open to the public without a fee and is held for the benefit of the citizenry. In order to provide access to the piano, no individual or group may schedule use of the piano more than one time per month.

A non-refundable $100.00 per use charge due at the time of application approval will be required if the piano is used by the same organization/individual more than once per month, admission is charged, or the event is private. Additional room charges for more than one event per month and private events may apply according to the Peter White Public Library facility usage fee schedule. Exceptions may be made at the discretion of the Board of Trustees of the PWPL or Library Director.

A fee schedule will also apply to before and after hours use of the facility, facility set-up and take-down required by Library staff, and use of special Library equipment and furnishings. Please see the PWPL Meeting Room Use policy for this fee schedule.

All requests for additional equipment and/or set-up require at least a one-week notice in writing.

The piano may be reserved in advance of the event, at no additional charge, for rehearsals in one-hour increments. No more than one rehearsal may be scheduled per day. Rehearsals may only be scheduled during open library hours. Rehearsal reservations are first-come, first-served and are the responsibility of the reserving party.

ONLY PETER WHITE PUBLIC LIBRARY MAINTENANCE STAFF MAY MOVE THE PIANO. A reasonable fee to repair any damages to the facilities, equipment or furnishings will be assessed to the sponsoring party should damage occur.

The piano is tuned quarterly and receives regular maintenance from a licensed professional. If the reserving party requests additional tuning for their event, the request must be made at least two weeks before the event and the cost of tuning will be charge to the sponsoring party and is due when tuning is requested.

Individuals and/or organizations that do not comply with the Peter White Public Library Piano Use Policy may be restricted from further use of the piano.

The Library Director has the final authority in determining appropriate use and scheduling of the piano.
